DESIGN for KPV COLLECTION DIGITAL ARCHIVE
- The initial collection content relating to the CNMI & Oceania was selected from the 100 or so boxes and loosely arranged by type and topic.
- Titles were given to each box to reflect the content, and named kpvcollection.
- AIRTABLE was chosen in 2015 for arranging content because it had useful features & low cost.
- The content was initially divided into sections (1. Collection Index & General Content, 2. Education & Culture Content, 3. Newsletters, Magazines & Press Releases, 4. Books) as a way to save money. AIRTABLE did not charge extra for sections under a certain size.
- The collection INDEX includes: a list of the physical boxes with a box image, box title, description, 2023 status, share, March 2020 status, kit’notes, physical location, content inventory, total inventoried records, total scanned, total pages, total pages scanned, last updated.
- Within each indexed box, each entry is listed with: title, author, link to scanned doc, status, illustrator, date, length, organization, other.
- Priority was given to digitizing with the plan that NMHC could complete the entries.
- Research & Restricted is a 2023 new category of unprocessed content which I am currently identifying, arranging and using for books in process about Chamorro & Carolinian Bilingual Bicultural Projects, Northern Marianas College and NMI/CNMI transition from Trust Territory to Commonwealth with focus on Education.
SCANNING LIMITATIONS IN KPVCOLLECTION DIGITAL ARCHIVE
- Scanning was stopped mid-box the day of the COVID shutdown, March 13, 2020, and has not been continued. There is more content that should be scanned
- Only regular sized (8 ½ by 11) documents were scanned because the scanner could not accommodate legal and large size documents. Some boxes contain documents that could not be scanned because of large size.
- Copyrighted documents were not scanned.
- Many documents are mimeographed, old, fragile and need special attention
- Many documents do not identify author, date or title
- The people assisting me were not familiar with Chamorro or Carolinian, but tried their best to be accurate identifying documents.
- There are mistakes in the archiving and scanning. Each document has not been reviewed and corrected, however it would be good for someone to do this.
